Job Summary:

We are seeking a detail-oriented and organized Office Assistant to join our team at Phase One Construction Ltd. The ideal candidate will be the primary point of contact for visitors and staff while managing the day-to-day administrative operations of our office in Vancouver, BC.

Key Responsibilities:

Front Desk Operations: Act as the first point of contact for guests, employees, candidates, and vendors, ensuring a professional and welcoming environment.
Office Organization: Maintain cleanliness and organization across the office, including conference rooms, stock areas, and communal spaces.
Administrative Support: Perform various tasks such as answering and directing phone calls, managing email correspondence, faxing, filing, recording meeting minutes, and handling mail and deliveries.
Team Support: Provide additional assistance to staff and departments as needed, including planning and coordinating onsite or offsite team events.
Supply Management: Monitor and order office supplies, ensure equipment is functional, and manage supply stations effectively.
Record Maintenance: Maintain accurate records including filing systems, contact databases, employee lists, and inventories.

Qualifications and Skills:

Proven experience in administrative roles such as office assistant, back-office assistant, or virtual assistant.
Proficiency in Microsoft Office Suite and the ability to quickly adapt to new software and systems.
Excellent written and verbal communication skills.
Strong multitasking and time management abilities.
High school diploma or equivalent qualification.
